Policies and Procedures

By enrolling your child, you agree to the following Arts Academy Terms and Conditions:

Enrolments are accepted on a first in, first served basis. All classes have a maximum capacity. A waiting list will be made available if the class you wish to enroll in is full. You will be notified by the administrator if a space becomes available. Enrolments will automatically roll over each term for the calendar year. If you are not returning next term please notify arts.academy@cityimpactchurch.com, please note charges may apply if cancellation is requested without a 4 week notice period. •Previous enrolments do not carry over into the next year unless confirmed between parents and the administrator before term 4 ends. Booking Policy•Parents are responsible for arranging their child’s booking. •We require 4 weekswrittennotice for the cancellation of any classes, charges may apply. •Bookings are yearly, therefore a student must complete all 4 termsandto be able to move onto the next level in the following year. •Enrolments are on a year by year basis therefore once you’ve enrolled, your booking will continue for the rest of the year from Grade 1 and up. Pre School age to Pre Grade 3 are on a term by term basis.•It is the parent’s responsibility to notify the administrator if their child will be leaving Arts Academy for any reason. •If you are enrolling your child into Musical Theatre, it is compulsory that they complete the group exam in term 3;exam fees will apply. •Parents are not permitted to view class unless given special permission. This allows the students to concentrate on their class work.Communicationand ContactPolicy •It is the parent’s responsibility to keep up to date with ourcommunication which is sent out via email and facebook.•It is also the parent’s responsibility to notify the administrator if there are to be any changes to their contact information. •Absences and cancellations are not validated if they come through the teacher. NZAMD does not workdirectlywith parents.•No student is guaranteed a place in an exam. Students will be entered into examinations at the discretion of the teacher, in consultation with students and parents/caregivers. •A letter will go out to the parent if they are selected.•The teacher can pull a student out of an exam at any time at their discretion.•Students must have the full dance uniform to be able to participate in exams, please see our uniform attire policy for more info. •Exam participation is a condition ofenrollment for Musical Theatre.•Exams must be paid within 7 days of invoice,late feesmay apply.•Mock exams are part of the exam process therefore they are a condition of exams. Mock exam fees are separate to exam fees and must be paid within 7 days of invoice. •Individual student exams aren’t compulsory. If you don’t want your child to participate in exams please let us know upon enrolment. •All syllabus Ballet, Hip Hop, Musical Theatre & Contemporary classes are taught with the intention that students will work towards sitting their examinations during the year. •Students will be sitting exams in Term 3. If you know you will be away during this time please let us know in advance so we can do our best to accommodate you.Photos and VideosPolicy Throughout the year children may be filmed and/or photographed for the purposes of City Impact Arts Academy. Agreeing with this form means you understand and are happy for you or your child’s image to be used. Please make the office aware if you or your child wishes not to befilmed or photographed.Uniform Policy & Class Attire•All students except for Pre School classes are required to wear the full danceexamuniform to every class. There is a one week grace period at the beginning of an enrolment. After that, the teacher reserves the right to refuse any students entering the studio with the incorrect uniform. •All non-exam students must still wear the full dance exam uniform.•Appropriate dance shoes must be worn for all classes, no dancing in socks.•Please see our website for the specific uniform requirements for each class. Recital Policy •Each year we host a complimentary recital for dance and music. These recitals are a complimentary event for family and friends to attend. •Your child participating in recital is optional, however we do encourage them to do so as it is a great opportunity to show case everything they have learnt so far to their loved ones. •Arts Academy reserves the right to withdraw or prevent a child from participating in recital at any time. •Costume fees will apply to all students participating in recital. Fees will be on a student by student basis dependent on dance style and level. This will be invoiced with the term 2 class fees. The costume fee is non-refundable once the costumes have been purchased. Teachers Policy•We,(Arts Academy)will provide a qualified teacher to our standards for each class.•We reserve the right to replace a teacher at any time without notice as a result of other professional commitments.•Any issues regarding our teachers or classes may not be discussed before, during or after class with the teacher and must be directed to the admin team via email at arts.academy@cityimpactchurch.comFee Policies & Procedures•All term fees are due by the start of the term unless an instalment plan has been arranged and approved prior with the administrator. •The fees list is available from the websiteor the administrator. This provides full details about multi-class packages and discounts.10% multiclass and sibling discounts available.•Students with outstanding fees may be excluded from classes, recitals and exams.•Fees are payable on or before the first class of the term. If payments are not made in advance or prior to the commencement of class, your child may not be able to participate in class until all monies due are paid in full. Refund Policies & ProceduresWe will refund any Term Fees paid for:•Classes cancelled by Arts Academy, only on the basis there is no future makeup class.•Classes missed if the timetable is changed and the student is unable to make the new time.•Classes missed if a student has an illness/injury and is no longer able to complete the term, providing the studio is informed immediately of the conditionand a medical certificate is provided.To apply for a refund or credit:•Email details to Arts Academy as soon as possible –Please do not wait until the term is over to request a refund or credit for the term that has passed: Once the term is finished, NOFURTHER REFUNDS OR CREDIT WILL BE APPROVED.•We are able to offer credit to another term or sibling as long as it is pre-arranged.We are unable to refund fees paid for:•Refunds are not given for students who are absent from class due to illness, injury or personal circumstances unless the student is absent for more than 3 consecutive weeks and the administrator has been notified via email.•Classes missed because the student changed their mind about wanting to do the class.•Classes missed due to holidays. If you foresee a period of absence due to planned holidays, please arrange with the studio at the beginning of term for the fees to be paid on a ‘per class’ basis.Health, Safety, Injury & Medical Policies & Procedures•Arts Academy is not liable for personal injuries sustained or any loss of, or damage to, personal property whilst on the premises.•Arts Academy aims to provide a safe environment to reduce the risk of injury. It should be recognized by all students, parents/guardians that dance by its very nature carries a risk of injury or accident.•It is the responsibility of the student, parents/guardians to notify the teacher in the event of an injury or medical condition prior to class.•A first aid kit is available to any student. We do not dispense Panadol, pain relief or medication to any students.•Arts Academy students are under supervision whilst in class time only. Teachers and staff are not responsible for students outside their allocated class time and children in waiting areas must be supervised by their parent or guardian. •For safety reasons, students must be collected from inside the building. It is the responsibility of the parent/guardian to ensure their student does not wait outside the building.•Fire safety -In the event of a fire, students are to follow their teacher’s instructions and walk to assemble in front of the building.•All students should bring their own water bottle to class. Due to health and safety regulations Arts Academy does not provide glasses.•Injuries must be reported to the teacher or coach by the students. This is important to be aware they have hurt themselves.•When an injury occurs at our studio we will complete an injury record for the parent. Depending on the severity of the injury we do expect the parent to take the student to a physiotherapist or appropriate medical practitioner of choice.•Students who have been injured must present a clearance report from their practitioner stating they are able to return to classes. If the injury is ongoing we must receivereports regularly so we are aware of the restrictions placed on the student.•We are not liable for personal injuries.Class Attendance Policy•Regular class attendance is vital for students to develop and keep up with their syllabus work. Students must be punctual to classes to ensure they receive a complete warm up.•If you are going to be late or not able to attend your class aparent/caregiver needs to advise the administrator prior to class beginning at arts.academy@cityimpactchurch.com•Students who do not attend classes for 3 consecutive weeks without notice willbe contacted by the administrator. If the administrator is unable to make contact after 2 further attempts, then the enrolment will becanceled and charges may apply. •Parents are not permitted to viewaclass unless given special permission. This allows the students to concentrate on their class work.Behavioral Expectations•All students are expected so show up on time for class each week with appropriate attire.•Any damage done to Arts Academy property will be the individual’s financial responsibility. You will be required to pay for any repairs necessary as a result of the incident. •All students and parents/caregivers must show respect towards the teacher and students at all times during the class.•Bullying and exclusion will not be tolerated and parents will be contacted if this occurs.•Arts Academy maintains the right to dismiss anystudent who breaches any of the stated Terms and Conditions, damages property or causes severe disruptions to classes. The decision is at the discretion of the teacher and Academy Director.•If you are having ANY issues with your teacher please come and discuss with the Admin Team immediately.Choreography•Choreography for classes, performances and competitions remain the artistic and intellectual property of Arts Academy and/or the syllabus providers. Choreography must not be copied or used without prior permission of Arts Academy. •Students who leave the studio are not permitted to perform choreography that was developed specifically for them by Arts Academy teachers as a solo or as part of a team/group without prior permission.Privacy ActThe enrolment processcollects personal information about students. Under the Privacy Act 1993 you are entitled to have access to, and request correction of, this information at any time. It is held at Arts Academy premises 794 East Coast Road, Oteha, Auckland
